1. Lead Management & Client Coordination
• Handle inbound and outbound calls with clients, architects, contractors, and project teams.
• Generate new leads through calls, follow-ups, social platforms, references, and market outreach.
• Maintain a structured lead tracker and ensure timely follow-ups until closure.
• Understand client requirements and share relevant product information, catalogues, videos, and technical guides.
• Schedule site visits, product presentations, and meetings for the sales/technical team.
• Coordinate with clients on order confirmation, material approvals, and project timelines.
2. Project Coordination & Documentation
• Maintain accurate records of all ongoing and upcoming projects.
• Track installation schedules, site readiness, material dispatch dates, and project progress.
• Coordinate between the marketing team, project execution team, installation teams, and warehouse.
• Assist in preparing proposals, quotations, BOQs, and commercial documents.
• Manage the handover process after project completion—including documentation and client follow-ups.
3. Inventory & Material Coordination
• Maintain project-wise inventory records for wood cladding, decking, flooring, aluminium joists, screws, sealers, oils, and hardware.
• Track material received, issued, and balance stock using daily usage logs and deduction formulas.
• Coordinate with the warehouse for timely dispatch, material delivery, and logistics updates.
• Ensure that all materials reach the client site as per schedule and quality standards.
4. Payment Follow-up & Order Processing
• Follow up with clients for advance, stage-wise, and final payments.
• Maintain a clear record of invoices, payment commitments, and collection status.
• Support the finance team with documentation and client clarifications.
• Ensure all payments are collected before handover.
5. Marketing Activities & Reporting
• Assist in digital marketing tasks such as posting updates, sharing installation videos, and coordinating marketing content.
• Maintain the database of architects, builders, contractors, and developers.
• Prepare weekly and monthly reports for leads, quotations, project status, and revenue follow-ups.
• Support exhibitions, sample displays, marketing kits, and client events.
6. Multitasking & Coordination Responsibilities
• Handle daily coordination between departments—marketing, projects, warehouse, finance, and installation teams.
• Manage phone calls, emails, WhatsApp communication, and client interactions professionally.
• Respond promptly to queries, provide updates, and ensure customer satisfaction.
• Support senior management in any administrative or coordination tasks related to marketing and operations.
